This Privacy Policy is provided for transparency about how Fieldkeep handles data. It is a working draft and is not legal advice. Organizations deploying Fieldkeep should review it with their own counsel.

Overview

Fieldkeep is a field-operations platform — a mobile app for field workers and a web-based Command Center for managers — that records crew time, location, and mileage and reads across your operation. Fieldkeep is a product of RightMove Properties (“Fieldkeep,” “we,” “us”). This policy explains what we collect, how we use it, and the choices available to you. It applies to the Fieldkeep mobile app, the Command Center, and this website.

A workforce tool: who controls your data

Fieldkeep is a business-to-business tool. Employers (the organizations that license Fieldkeep) create and provision accounts for their workers and decide how the product is configured. For data about workers and operations, the employer is the controller of that data and Fieldkeep processes it on the employer’s behalf. If you are a worker using Fieldkeep through your employer, please direct privacy questions to your employer first; we will support their instructions. For this website and general inquiries, RightMove Properties is the controller.

Information we collect

From field workers using the app

  • Account information provided by the employer, such as name and a work email or phone number.
  • Location data, including background location, collected while the worker is on the clock — used to record where work happened and to calculate mileage.
  • Time and job data: clock-in and clock-out events, timestamps, work-order or job codes, and derived trips and mileage.
  • Device and diagnostic data: basic logs used during support and to keep the app working.

From managers and administrators using the Command Center

  • Account information and authentication data, and basic usage and audit logs.

From website visitors

  • Standard server logs (such as IP address and request information) generated when you visit the site, used for security and to operate it.

Background location

The Fieldkeep app collects precise location in the background only while a worker is on the clock — it starts at clock-in and stops at clock-out, never off-clock. This is a core function of the product: it records where work happened and reconstructs drives so mileage can be calculated automatically. Background location is governed by the employer’s configuration and disclosed to workers in the app. A worker can disable location permissions through their device settings, though doing so will limit or prevent location and mileage features.

How we use information

  • To provide time tracking, location recording, automatic mileage, and the AI reading across your operation.
  • To operate the Command Center and generate briefings and reports for the employer.
  • To provide support, maintain security, prevent abuse, and meet legal obligations.

We do not sell personal information, and we do not use it for advertising.

How we share information

  • With the employer that provisioned the worker’s account.
  • With service providers (subprocessors) who help us run the service, including Google Cloud Platform (hosting and databases), the Google Maps Platform / Roads API (geocoding and snapping drives to roads), Transistor Software (the background-geolocation engine in the mobile app), and AI model providers (currently Anthropic) that process operational data to generate briefings and answers.
  • For legal reasons, where required by law or to protect rights and safety.
  • In a business transfer, such as a merger or acquisition, subject to this policy.

Data retention

Raw location points are retained for a limited period (currently about 45 days) and then purged. Aggregated and derived records — such as time entries, mileage ledgers, and reports — are retained for as long as needed for payroll, reimbursement, and recordkeeping, or as the employer or applicable law requires.

Security

We use reasonable technical and organizational measures to protect data, including encryption in transit and access controls. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

Your choices and rights

Workers can manage location permissions in their device settings. Depending on where you live, you may have rights to access, correct, or delete personal information. Because employers control worker data, please submit such requests through your employer; you may also contact us at demo@fieldkeep.app and we will assist the controller.

Children

Fieldkeep is a workplace tool intended for use by adults in an employment context. It is not directed to children and is not intended for anyone under 16.

Where we operate

Fieldkeep is operated in the United States. If you access the service from elsewhere, you understand that information may be processed in the United States.

Changes to this policy

We may update this policy from time to time. When we make material changes, we will revise the “Last updated” date above and, where appropriate, notify the organizations that use Fieldkeep.
